2. Information We Collect

We collect information you provide directly, including:

• Contact form submissions — name, email address, and any message content you provide
• Appointment bookings — name, email, phone number, and scheduling preferences collected through our booking platform (Squarespace Scheduling / Acuity)
• Coaching agreement — name and signature collected through our electronic signature provider (SignWell)
• Payment information — processed securely through third-party payment processors; we do not store card numbers or banking details
• Session notes — AI-generated transcripts and summary notes created during or after coaching sessions (see Section 4)

We also collect limited technical data automatically (IP address, browser type, pages visited) through standard website analytics. This data is aggregated and not linked to your identity.

3. How We Use Your Information

We use your information to:

• Schedule and conduct coaching sessions
• Deliver agreed coaching services and follow-up materials
• Send session summaries, invoices, and administrative communications
• Comply with legal and contractual obligations
• Improve our services and website

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. AI Transcription and Session Notes

To support accurate note-taking, coaching sessions may be transcribed using AI-assisted transcription software. Here is how we handle that data:

• Opt-out available: You may request that no AI transcription occur for your sessions. This will be honored without affecting your coaching relationship.
• Retention: Raw transcripts are deleted once your session summary has been delivered — typically within 7 days of the session.
• Summaries: Condensed session notes are retained for the duration of your coaching engagement and for up to 12 months thereafter, unless you request earlier deletion.
• No third-party disclosure: Transcript content is not shared with any third party except the transcription platform used to generate it, which processes the data under its own privacy policies.

5. Third-Party Services

We use the following third-party platforms, each subject to their own privacy policies:

• Squarespace — website hosting and scheduling (squarespace.com/privacy)
• SignWell — electronic signatures for the Coaching Agreement (signwell.com/privacy)
• Stripe — payment processing (stripe.com/privacy)
• AI transcription software — session transcription (provider disclosed at time of engagement)

6. Data Retention

We retain your personal information for as long as necessary to deliver services, meet legal obligations, and resolve disputes. Upon written request, we will delete or anonymize your data, subject to any legal retention requirements.

7. Your Rights

You have the right to access, correct, or request deletion of your personal information. To exercise these rights, email hello@pathwize.coach. We will respond within 30 days.

8. Cookies

Our website uses cookies for basic functionality and analytics. You can disable cookies in your browser settings; some site features may not function correctly if you do.

9. Children's Privacy

Our services are intended for adults (18+). We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us immediately.

We may update this Privacy Policy from time to time. Material changes will be noted on this page with a revised effective date. Continued use of our services after changes constitutes acceptance of the updated policy.
